Hello region admins,
For those of you I haven’t met, my name is Carl Hipp, and I recently started a new role with SportsEngine to work directly with USA Volleyball regions.
My goal is to ensure each of you has everything you need from us to be successful. To start, I’m creating this new and improved monthly newsletter to share advice, updates, and action items directly with you. In it, you’ll find;
-
Continued MMS education
-
Next season preparation tips
-
Region process review & consultation
-
Club affiliation questions
-
Escalated support issues
While I am your point person for the items listed above, the entire SportsEngine support team will continue to be your best resource for daily help, questions, and club/member support. Feedback on the MMS should continue to be shared with membership@usav.org as we prioritize future enhancements.
So, let’s get into this month’s edition. If you have any content suggestions for future newsletters, I’d love to hear from you.
Best,
Carl Hipp | |

Looking ahead, I’m trying to gather when each region plans on opening tryouts for next season. With the adjusted high school season and event schedules, I understand this year may be a little different.
Please send me an email with your region’s planned tryout dates for 2021-2022 as soon as possible. If your region does not specify when clubs hold tryouts, please alert me to that as well.
New updates in SportsEngine HQ

If someone within an organization's member directory is having trouble logging in, admins can now send an automated email with a link to sign in or reset their password.

We’ve updated our Document Retention Policy to ensure the utmost security and protection of your organization, families, and athletes. Effective immediately, all documents uploaded through SportsEngine registration will automatically be deleted after 180 days. This means all documents uploaded into the Registration platform moving forward will be accessible for 180 days before being removed. Any historical documents uploaded prior to November 2020 will be removed in the coming weeks.
What does this mean for your region?
If you collect documents uploaded by members through a SportsEngine registration, you will need to download them if you would like to keep them for archive purposes. This does not affect waivers in memberships or acknowledgments.
Tokyo Olympics opportunities
| |
The Tokyo Olympic Games are only 100 days away, and we couldn’t be more excited that the sport of Volleyball will be on full display.
NBC Sports and SportsEngine have several promotions leading up to and during the Games that I want to make sure you know. NBCOlympics.com/volleyball will be the digital destination for fans to learn more about Team USA and the sport of Volleyball.
For families who have children interested in volleyball for the first time or continuing to grow their passion for the game, we will direct them to SportsEngine.com/volleyball. We will highlight USA Volleyball affiliated clubs and regions on this page.
What does this mean for your region and member clubs?
During the Olympics, we expect a significant increase in visitors to SportsEngine.com. To take advantage of this, it’s important that your region’s listing is up to date and accurate. That way, when families search for local volleyball programs, they will find your region and a USA Volleyball affiliated organization to join.

We’re continually updating our platforms to add new features and improve the user experience. Here are a few recent enhancements to AES:
-
Updated the logic for importing official-type memberships, giving Tournament Directors and Head Officials the ability to easily verify who is and isn't an eligible USAV Official.
-
Added the ability for Tournament Directors to record "offline" refunds for online event registration payments
-
Added the ability for Tournament Directors to download a CSV Payout Report through the Stripe API, which includes details about each transaction, including event name, club name, and team(s).

Learn more about: Chargebacks
| |
Chargebacks occur when a registrant disputes a payment made to your organization with their card provider. Then, the registrant’s card provider withdraws the funds in question from SportsEngine’s account and returns them to the registrant without authorization from SportsEngine.
Check out these resources to learn more:
Any region looking to provide information to dispute a chargeback reported from a user can complete our chargeback resolution form.
